Overview:
Conference and Event Services organizes and manages approximately 100 conferences per year with 50 average attendees. Attendees pay directly for specific items related to their conference including parking, rooms, meals. Payments include credit cards, cash and checks. Credit card processing, cash handling, and check handling require due diligence from staff to prevent misappropriation, minimize individual and institutional risk by establishing appropriate internal controls, ensure proper segregation of duties, and prevent loss of income.

Customer: Pay charges on a timely basis with a valid form of payment
Service Center Staff: Accept credit card payments from customers. When processing credit card payments, only staff trained in PCI compliance may accept this form of payment to ensure compliance with PCI requirements. FTC reconciles credit card payments.
Conference Services Staff: Accept payments in the form of cash, checks and credit cards. Verify cash received is not counterfeit, endorse all checks immediately and secure cash and checks in locked safe to ensure proper security of payments received. When processing credit card payments, only staff trained in PCI compliance may accept this form of payment to ensure compliance with PCI requirements. Staff log payments into CVENT or StarRez, depending on where charges are recorded.
Accounts Coordinator: Counts cash, endorses checks and prepares deposits, reconciles deposits weekly, safe counts done monthly, and reports discrepancies to Office Manager, Executive Director and FTC.
Office Manager: Verifies safe counts, approves deposits, notifies FTC when safe combination is updated. Receives notification of cash discrepancies for further action.
SCL FTC: Reconciles clearing accounts each month to verify payments clear appropriately. Notified of discrepancies in deposits and safe.
