Ensuring access to old versions copies of Physics's FMPro files (prior years of students). We have previously migrated them to transitioned staff access to contemporary files from A&S's FMPro v11 server to their A&S's v14 server.

The FMPro files being discussed are at the top level of the in the "admin/Grad/Old student databases/folder. They are historical snap-shot copies of student records, by year.

  • Data point of use: Recently, Kacey needed to access to info in these files which was from more than 10 years ago.
  • After this work, Kacey confirmed access via her FileMakerPro v16 application (Windows).

Access

  • Staff access is by selecting the button, "Sign In as Guest".
  • Admin access is by entering "Admin" for the Account Name, and using the p/w available in Physics IT's LastPass directory.

What was done

To enable access by staff, we made the following changes:

  • We enabled "Guest" (read only) access to all of them to enable direct access by staff.
  • We changed Network access to "No users" to remove Sharing warning message.
  • We converted all the files from v11 (*.fp7) file format (*.fmp12) FileMakerPro file format, future-proofing continued access.

Kacey confirmed this afforded her access and met her needs.

Details on conversion

There were 16 databases, from 1990-2000 through 2014-2015, as of 2018-06-18.

All these v11 files, now converted to v12.

  • "Just in case", we retained the original, older versions of the files in a sub-directory, "admin/Grad/Old student databases/Original v11 copies of old student databases".
    • Under 40MB, total
  • That directory also contains a Conversion log regarding each file converted
  • Migrate all the files to post-v11 versions. As of 6/12/2018, would migrate them to v1, which keeps the post-v11 file format and just came out earlier this year. (FYI: A&S FMPro servers are v11 and v14 server.)
  • Retain the older versions of the files "just in case".
