Scope: This document outlines the steps involved in creating order records in  Voyager in FOLIO for items selected from Sunday's New York Times to be placed in CUL's New & Noteworthy section. The premise is that the orders will be treated as rush.

Each week the bibliographer selector for American and English literature selects his choices from the Book Review section of the Sunday NY Times, for ordering.   The bibliographer selector uses the POOF GOBI interface to create bib records in Voyager, and includes send order requests to LTS with appropriate notes to identify his selections as destined for New & Noteworthy section.   Additionally he , the selector sends a separate email with the list of selected titles to the Ordering Unit's group print ordering mailbox. Order ll The ordering staff will order requested titles directly from YBP if GOBI if they have the status ofIn stock Rush available. Otherwise, they will order from Amazon.

A.  Notification from the Selector of New & Noteworthy titles:

  1. Early in each work Each week, the selector sends a message to ltsorders@cornell.edu with a list of his selections for that week.
  2. Designated LTS ordering staff member sorts through the daily ITSO query and kickout folders to ensure that each requested title is associated with a Voyager PO.
  3. Also, and as appropriate, ISBNs for selected titles may be searched in Voyager to determine whether PO was created.
  4. The selector submits order requests for selected titles through GOBI.
  5. Next business day, designated LTS Ordering staff searches selections in GOBI and reviews order details.
  6. If title status in GOBI is "In Stock/ Rush Available", directly place GOBI RUSH order. 
  7. If title status in GOBI isn't "Rush Available", create Amazon PO and order from Amazon. Ordering staff will move note (NYBR; NEW-NOTEWORTHY) from the Notes area of the line item in the Voyager purchase order to the Requester area of the line item.

Retrieve selected titles

  1. Order all requested titles through the GOBI interface if availableOpen GOBI and login.
  2. Using the ISBN from Voyager MARC recordthe selected titles, search GOBI interface for availabilityin FOLIO for a duplicate record, making sure the item is not yet owned.
  3. Confirm price the title status in GOBI and choose hardcover option when one is availableis "In Stock/Rush Available".
  4. Mark each title and add to designated "Folder" for rush ordering.
  5. Choose RUSH/DROP/SHIP option in GOBI interface, adding PO# and Fund # in designated area.
  6. Accept terms (i.e. non-refundable) in GOBI, then "Submit" order.
  7. the left side of the item and click “Add to Order Cart” button. Follow steps 2 and 3 for each title.
  8. Click on the cart icon on top right corner to view the order cart.
  9. Mark left side of items and click Rush order icon. Proceed with the order. 
  10. If the item is not Rush available in GOBI, create a purchase order (vendor code; Amazonbus), and order from Amazon. Ordering staff member will recieve order acknowledgment from  email from ybp.com.

  1. Make sure each PO line has “NYTBR; NEW&NOTEWORTHY”, in the receiving note field.
  2. In the receiving app, edit each PO line and check the box of “Must acknowledge receiving note” and save.
  3. Edit PO. Enter LTS Acquisitions in "Bill to" and "Ship to" fields. 
  4. Title appears as "Library
  5. Match cart in GOBI to PO in Voyager to ensure that all titles have been selected.
  6. Use Fund code 521 in Voyager acquisitions record.
  7. Approve order in Voyager, but don't send via EDI.
  8. Title will appear as "library open order" in GOBI interface and should arrive within a week.it arrives within 2-4 business days.
