Scope: This procedure addresses the creation or revision of appropriate Holdings and Item records for materials where two or more works, issued independently, were later bound, filmed, or housed together in a single unit (e.g. in a volume, on a single microfilm reel, etc.). The works may be related by publisher, theme, genre, or other elements, or they may simply contain a variety of works reflecting the choices of the compiler.  Each of the titles will have a separate instance record, but the physical piece will have 1 barcode, so it is crucial that the Bound-with information be entered accurately to link the titles to the item record associated with that barcode, so staff and patrons can locate the correct resource.  It is recommended that only experienced catalogers or Database Quality staff work with "bound-with" materials, unless appropriate training can be arranged.

The "Bound With" instructions for print titles assume that "with" notes will be copy-specific. (be specific to the copy in hand?) (These instructions are aimed at both catalogers and post-cataloging staff.)  
"Filmed With" situations are more nebulous and depend on whether the filming (or re-filming) is universal or copy-specific, or on whether the microfilm copy has been added to a print record. Catalogers should use judgment in determining how and when to record "filmed with" information, based on AACR2, the LCRIs (link? expansion/explanation), the "Bound With" section of this procedure, and the situation at hand.

The "Filmed With" guidelines in this procedure cover item record creation and barcode linking only, and are aimed primarily at staff who barcode microfilm containers as part of the post-cataloging or collection management process.

Instance and Holdings of first title ("parent" record):I.

  1. Identify which title

  1. is first in the physical volume. For that title:
  2. Locate, import, or create a matching Instance record. Edit the Instance with administrative notes and statistical codes as applicable.
  3. Locate or create a Holdings record with the appropriate Holdings Type, location, and call number information for that first title. 
    1. The NEXT In the Holdings Notes section, add a note, with Note type: Note, indicating what the NEXT (second) work is in the volume. Use the format "Bound with: [author name] if available (last/first). Title of resource" (or enough of the title to allow for a reasonable search    (second) title in the volume, using the format  (see examples 1 and 2 )below). NOTE: the Holdings notes should be public. Do NOT check the "staff only" box at the end of the note field.
    2. Occasionally, we may encounter a Bound-with resource whose Holdings note indicates Alternatively, the Holdings note can indicate that the title is the first in a volume that has a certain spine title. We use the The term "lettered" is used to note what the spine title is (see examples 3 and 4). (What determines this? Do we prefer option 1? "no. 1 in volume lettered:" seems to be mostly RMC?  Are there guidelines/scenarios where one is preferable?  If option 1, then will revise option 2 as more of an FYI, since people may still encounter them? See also partially analyzed serials below) - will indicate preference for option 1, and reference the other option as something staff may encounter.NOTE: In both of the above cases, the Holdings notes should be public. Do NOT check the "staff only" box at the end of the note field This type of Bound-with note is used primarily by RMC staff, and when creating new Bound-with records, LTS staff should use approach "a" above.

In the  In the case of a partially analyzed serial, use the enumeration from the piece itself, when appropriate (Is this reflected in one of the original examples below?  Numbering gets very confusing very quickly (see also bib 444353).

Item Record for the first title ("parent" record):

  1. Create an item record, if one is not already attached to the

  1. holdings of the first title in the resource.
  2. Enter the barcode number in the Barcode field. Since this single item record will represent the entire physical volume, be sure to record the proper enumeration and chronology for the bound volume (if applicable) in the item record.

2.  Identify the subsequent titles in the physical volume. For each title:
