Scope: This procedure addresses the creation or revision of appropriate Holdings and Item records for materials where two or more works, issued independently, were later bound, filmed, or housed together in a single unit (e.g. in a volume, on a single microfilm reel, etc.). The works may be related by publisher, theme, genre, or other elements, but often, they simply contain a variety of works reflecting the choices of the original compiler.  See cataloging rules for bibliographic description of such works. (<--where would this be? Link? clarify? delete?).   Each of the titles will have its own bibliographic record, but the physical piece will have 1 barcode, so it is crucial that the Bound-with information be entered accurately in the relevant Holdings and Item records, to direct patrons and staff to the correct resource.  It is recommended that only experienced catalogers or Database Quality staff work with "bound-with" materials, unless appropriate training can be arranged.

The "Bound With" instructions for print titles assume that "with" notes will be copy-specific. (specific to the copy in hand?) (These instructions are aimed at both catalogers and post-cataloging staff. )  
"Filmed With" situations are more nebulous and depend on whether the filming (or re-filming) is universal or copy-specific, or on whether the microfilm copy has been added to a print record. Catalogers should use judgment in determining how and when to record "filmed with" information, based on AACR2, the LCRIs, the "Bound With" section of this procedure, and the situation at hand.

The "Filmed With" guidelines in this procedure cover item record creation and barcode linking only, and are aimed primarily at staff who barcode microfilm containers as part of the post-cataloging or collection management process.

  1. Identify which title is first in the physical volume. For that title:
    1. Locate, import, or create a matching bibliographic record. Edit the Instance with administrative notes and statistical codes as appropriate.
    2. Locate or create a Holdings record with the appropriate Holdings Type, location, and call number information for that first title. 
      1. In the Holdings Notes section, add a note, with Note type: Note, indicating one of the following, as appropriate (question) :
        1. The NEXT (second) title in the volume, using the format "Bound with: (author name, if available (last/first). Title of resource (or enough of the title to allow for a reasonable search.  (see examples 1 and 2)
        2. Alternatively, the Holdings note can indicate that the title is the first in a volume with a certain spine title. We use the term "lettered" to note what the spine title is (see examples and 4). (What determines this? Do we prefer option 1? "no. 1 in volume lettered:" seems to be mostly RMC?  Are there guidelines/scenarios where one is preferable?  If option 1, then will revise option 2 as more of an FYI, since people may still encounter them? See also partially analyzed serials)
      2. NOTE: In both of the above cases, the Holdings notes should be public. Do NOT check the "staff only" box at the end of the note field.
